CHAPTER 15: OPTICAL SCANNER

This chapter covers the information needed to get started on using the MMM Divisional scanners. We currently have two. The Umax Astra 1200s is located on the second floor (cubicle 2058), and the HP ScanJet IIcx on the third floor (cubicle 3068). For more detailed information, there are manuals available for the scanner software packages.


15.1 Systems



The HP ScanJet II cx is compatible with Macintosh and IBM compatible PCs. For the Macintosh hardware, the scanner can be connected directly to your existing SCSI interface. The recommended requirements for the Macintosh include:
        5 - 8 megabytes of RAM, minimum is 4
        6 megabytes of available disk space for installation of software
        (DeskScan II and Adobe Photoshop)
        System software version 7.0 or greater, minimum is 6.0.7
For installation instructions and software installs, submit an assist request to the Systems Management Group.

For the PC, the scanner requires an adapter card to be installed in the system. For this reason, the scanner can currently connect to only the chosen IBM-compatible systems.

15.2 Software



The two scanners are capable of scanning both black/white and color images and text.

15.2.1 Scanning Black/White and Color Images

HP ScanJet IIcx

The software that does the actual scanning is called DeskScan II (on both Macintosh and PC). The image processing software is Adobe Photoshop for the Macintosh; Aldus PhotoStyler and Image Assistant for the PC.

The DeskScan software does the actual scanning and includes some adjustments. The following are a few of the adjustments that can be made:

        adjust the selection area
        change the exposure settings
        choose a new image type
        sharpen the image
        scale the image to the right size
If you need to enhance your images beyond what DeskScan offers, then the image processing software is what you need. This software scans images through the DeskScan software.

Umax Astra 1200s

The software that does the actual scanning is called Presto! PageManager (on both Mac's and PC's). The image processing software is Adobe Photoshop for both system types.

From Presto! PageManager, the image needs to be previewed, adjusted and finally scanned in. In the "File" drop-down list, choose "Acquire". This will start the process. From here, select the resolution, and image type that will best suit your needs and then click on the "Preview" button below. This will initially scan in every thing that is on the scanning bed surface. Once the image is scanned in, a moving dotted line will indicate the current border setting of the image. By clicking and dragging, the border size can be adjusted to focus on a portion of the image or to include the whole image. Once the border settings have been established, click on the "Scan" button down below. If any other editing of the image is needed, Adobe Photoshop will take care of that.

The file formats that an image can be saved as on a Macintosh include:

        TIFF            Tag Image File Format
        TIFF            Compressed
        Mac Paint       General Mac illustration format
        EPS             Encapsulated Postscript
        PICT            Mac graphic format
        PICT            Compressed
The file formats that an image can be saved as on a PC include:
        TIFF            Tag Image File Format
        TIFF            Compressed
        PCX             ZSoft Format
        EPS             Encapsulated Postscript
        BMP             Windows Bitmap
Files can be transferred to other systems using either a diskette or the FTP utility. If you use FTP, files need to be transferred in binary mode. For additional information on the software available and its use, contact Jody Williams to borrow the manuals.

15.2.2 Scanning Text

HP ScanJet IIcx

The Optical Character Recognition (OCR) software for the PC is OmniPage Pro.

OmniPage Pro is installed on the PC located in the classroom. The OCR software is not available for the Macintosh but if scanned text needs to be used on a Macintosh, use the OmniPage Pro software on the PC and save the file as an ASCII file. It can then be transferred either by diskette or by the FTP utility.

OmniPage Pro can save text in many different formats. The more popular ones are:

        ASCII
        Microsoft Excel
        Microsoft Word
        WordPerfect

Presto! PageManager is the software that performs the OCR process.

The process for performing OCR is very similar to image scanning. Once "Acquire" has been chosen, choose B/W photo and select a resolution no higher than 600dpi. Scan the image in and exit from this sub-application. Back in the main Presto! application click on the OCR button. This will convert an image to text. Once this process has completed, the document will be seen in the "Inbox" area. Click and drag your document to an application choice down below. The choices given are to e-mail, fax, print; or to convert the text to MSWord, WritePad, or UltraEdit (which will convert easily to a TeX file from here).

15.3 Procedures



Users have access to the scanner attached to the general use PC in the classroom. If you have a Macintosh and want to use the scanner in your office, you should schedule a time with the Systems staff. Submit an assist request regarding the necessary software.

Do not remove the scanner from the classroom PC without completing the sign up sheet, and under no circumstances should the scanner be removed from the premises. Should there be problems in this area, it may be necessary to make the scanner less accessible.
